BAT AUSTRALIA IS LOOKING FOR AN EXECUTIVE ASSISTANT
Please note: this is a 9-month contract
SENIORITY LEVEL: Non-Management
FUNCTION: Marketing
SALARY RANGE: AUD $70,000-75,000 + super + other benefits
LOCATION: Sydney, Australia
ROLE POSITIONING AND OBJECTIVES
The role is responsible for providing a high level of assistance and support to multiple senior managers within Commercial Marketing Leadership Team (CLT) to enable the efficient operation both professionally and personally. Represent BATA and the CLT in a professional and positive manner at all times to all internal and external stakeholders.

WHAT YOU WILL BE ACCOUNTABLE FOR
- Diary management for multiple senior managers – Head of Commercial, RTM Manager – including scheduling meetings, accepting/declining meeting requests as appropriate and managing diary conflicts.
- Managing internal/external meetings, lunches, dinners and other events and functions – including booking meeting rooms/venues, distributing relevant documentation to attendees and preparing/coordinating relevant material as required.
- Organising all relevant travel and accommodation arrangements.
- Processing and coding expenses including travel, credit card and general administration.
- Raising of purchase orders and processing of invoice
- Compiling, drafting & distributing communications to service line
- Executive support to the wider team as required.
- General administration duties including faxing, filing, photocopying, arranging couriers, printing, binding.
- Ad-hoc project work.
- Client liaison - using proactivity and initiative to take action on any requirements as necessary. Liaison with external clients, suppliers, consultants, overseas stakeholders and others as required.
ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE
- Demonstrated experience in executive assistance / support to senior leaders in a large organisation requiring tact, judgement and discretion in handling internal and external clients.
- Experience of diary and email management, booking of travel and organising successful meetings.
- Advanced Microsoft Office Skills in Excel, PowerPoint, Word and Outlook skills (particularly PowerPoint).
- Able to anticipate needs and demonstrate the ability to be three steps ahead at all times.
- Excellent organisational skills, ability to multi-task and organise others.
- Excellent oral and written communication skills and the ability to professionally represent British American Tobacco.
- Ability to apply a high level of credibility and discretion.
- Well-developed prioritisation and time management skills whilst working under pressure.
- Effective ability to filter information and assess priorities
