British American Tobacco is looking for one HR Officer to join our team in Cape Town (you will be working in the Western Cape Depot) on a fixed term contract of 12 months.
Purpose:
The emphasis of this role is on supporting the HR Business Partner, by providing an efficient and effective administration & coordination support, thereby ensuring that the HRBP can offer full business partnering service to the Trade Marketing and Distribution leadership teams and field force.
Principal Accountabilities:
1. HR Reporting:
- Prepare relevant HR reports to enable HRBP to provide accurate people related insights to the relevant leadership teams.
- Prepare monthly people related reports as appropriate (Headcount, PTSD, disciplinary investigations) reporting, Ensure Standards of Business Conduct, Policy documentation & updates are signed and submitted to Global Business Shared Service (GBS) HR.
- Follow through all outstanding items on Recruitment Tracker with relevant HRBP/LM/GBS.
2. Recruitment & Selection:
- Co-ordinate logistics of interview venues/telecons
- Arrange psychometrics assessments where applicable
- Co-ordinate onboarding documentation
- Support LM in ensuring New Hire logistics 100% OTIF
3. Employee Administration & Case Management:
- Dedicated follow through on all SuccessFactors EE/LM actions through regular training/coaching/reporting
- Feedback and follow through with various EA stakeholders to ensure 100% resolution of EA related actions.
- Ensure all technology/logistics in place for all stakeholder groups to access EC
- Update Org Structure, certain terminations, delimit vacant positions not needed, update cost center information on our HR system - Success Factors (SF)
4. Learning & Development:
- Gather and consolidate all training & development related needs and reporting for function
- Validate all training & development related costs as required and conduct L&D cost analysis
- Support procurement and logistics of all training related initiatives as directed by the HRBP (e.g. venue hire; facilitator logistics; training materials; catering; etc.)
- Liaise with Talent Manager on all outstanding study support enquiries to close out feedback to employees OTIF
5. Benefits Administration:
- Ensure all employees are aware off and upskilled on all employee benefits programs;
- Provide administrative support as required on benefit enrollments/withdrawals.
6. HR Projects:
Provide administrative and coordination support to HRBP as required during preparation and implementation phase of various HR projects;
7. Performance Management:
- Support HRBP with relevant training materials and HRIS to imbed company PM approach
- Bi-Annual data validation of PO and Ratings in preparation for Performance Calibration
- Support HRBP/LM with necessary Poor Performance materials/documentation
8. Employee Relations:
- Coordinate and prepare all training materials for HRBP to deliver ER upskilling to LM
- Prepare all relevant documentation as required related to enquiries/misconduct/poor performance
- Consolidate functional employee engagement plans and track implementation of actions
9. HR Talent Cycle:
a. Provide HRBP with all materials required to effectively run TRM
b. Validate TRM data and update records as appropriate in SF
c. Arrange logistics (venue; participants; etc.)
d. Minute take TRM and keep all information confidentia
Knowledge/Qualifications:
- Appropriate 3 year B-degree
- Sound knowledge of Human Resources Practices and procedures
- Have sound business knowledge and an understanding of the impact of HR on other business functions
- Knowledge and experience of working with typical Marketing Functions would be advantageous
- Sound knowledge of appropriate labour legislation, eg. Basic Conditions of Employment Act, Labour Relations Act, Employment Equity Act, etc.
